The services below are presented primarily from the perspective of my recent choir experience but over the years I have been on the board of a couple of non-profit community groups and worked as a volunteer in various capacities for others plus most of the skills and experience underlying the various other services offered on this site are very transferrable to the non-profit sector.

 

MY CHOIR SERVICES BACKGROUND

I have been Registrar and newsletter editor for Victoria's Gettin' Higher Choir since September of 2001.

As such I:

  • maintain a membership database of 1100+ current and past members of the Gettin' Higher Choir
  • correct and update individual database records as necessary by phone or email
  • organize, collect, process, track and report GHC registrations for each session
  • negotiate payment plans and scholarship arrangements with registrants
  • collect and record session fees
  • track, and make collections of, overdue payments
  • prepare and make bank deposits
  • design both printed and digital administrative forms and systems pertinent to my duties as registrar and editor
  • create and edit a weekly email newsletter that goes out to current and past GHC members who are on email
  • prepare and send out periodic special announcements to the whole choir community or targeted to particular groups within the community
  • respond to choir community member's phone and email queries about choir policies and activities
  • free the directors of the GHC as much as I can to focus on the music.

NEWSLETTER EDITING

Via email from my home office in Victoria I can:

  1. Gather, organize and edit news & business items from your organizations administration team plus community interest submissions from your membership to create a regular email newsletter for your community.

  2. Send a draft copy of the resulting newsletter to each of your admin team and then incorporate their feedback into a master copy.

  3. Send the master copy to whoever in your organization is responsible for emailing it to your choir community list or send it out myself if I have a current copy of the list.


REGISTRATION & NEWSLETTER SERVICES & RATES

IN THE VICTORIA AREA

For organizations in the Victoria area I can serve as both registrar and newsletter editor offering the same range of services that I provide for The Gettin' Higher Choir (see Background above).

The fee for this service package in the Victoria area is:

$ .75 (Cdn) per member registered on the last day of each month the choir is in session

~ minimum invoiced per month $50

~ 1st month of each new registration period based on last month of     previous period

~ plus ~

$ .05 (Cdn) per recipient per issue of the newsletter

~ minimum invoiced per issue $15

~ invoiced monthly

OUTSIDE THE VICTORIA AREA

For organization elsewhere I can provide many of these services via email, web site forms and web accessible databases plus phone and surface mail as necessary.

The fee for this service package outside the Victoria area is:

$ Negotiable (Cdn) per member registered on the last day of each month the choir is in session

Build and maintain a web site for your organization with a look that suits your taste and functionality that suits your needs including links, sections and/or pages that can offer such things as:

Introduction & promotion

(offering information, images and possibly audio clips to people considering joining)

On-line registration and possibly on-line payment

(including advance registration for the next session/period if you are restricting registration to the beginning of each session as the GHC does)
“Pass Us On”
(links throughout the site that make it easy for visitors to tell their family, friends and associates about your organization. these links could simply open an email blank or take the visitor to a "pass on page" providing a variety of pass-on options.
Upcoming Concert/Event Information
(the URL for such a page can be included in email promo, on posters, in community calendar listings and media advertising as a way of offering access to more comprehensive text and images about an upcoming concert or event than can be given in those other media)
Organizational Scrapbook
(an archive of newsletters, images, audio clips, concert/event memorabilia and other items relative to your organization's activities that you want to make available to current members and possibly to interested site visitors.  Check out http://www.crucible.ca/ghc/1/honoring.htm for examples)

Core Repertoire Lyrics & Audio Files

(a section of pages presenting printable versions of lyrics allowing choir members to select and print what they need via their home or office computer. There are no doubt variations on this theme applicable to other types of organizations)

(Offering your choir's members an opportunity to promote their interests to each other and to site visitors)

I can register an URL for your site and host as well as design, build and maintain it.

Conduct surveys

By email or on-site questionnaire forms. The raw response emails for each survey could be directed either to you or to me to tabulate and generate a report on the results. Possibilities include:

End of registration period surveys of each of that period's registered members for general feedback on what worked for them and what didn’t and why.

Drop-Off Surveys of members who drop out early or don't return from a previous session to find out why.

Surveys to find out whatever else you might want about your past or present members and their experience of your choir.

Do Internet or phone research to help you find information, services, products, people or opportunities you need to succeed.

Custom design, and produce master copies of, administrative forms, promo materials and other printed materials that you can then print or photocopy as needed.
